When writing in Word, what’s really frustrating isn’t the writing itself, but the formatting—mysterious blank pages that appear out of nowhere, table headers that disappear after a page break, the underline on the cover page that just won’t align no matter what… These little things pile up one by one, and before you know it, the day is over.
The following 20 tips cover the most common issues you'll encounter; whenever you run into a problem, just look up the corresponding number to find the solution.

II. About the Table
7. Generate a header row for a Word table
When a table spans multiple pages, the tables on subsequent pages often lack headers. First, select the row that serves as the header, then click “Layout” → “Data” → “Repeat Header Rows”; this will automatically include the header on every subsequent page.
8. The Excel table does not display completely after being copied into Word
Select the table, then choose "Table Tools" → "Layout" → "Cell Size" → "AutoFit" → "AutoFit to Window," and the parts that were too wide will be adjusted to fit.
9. Add a header to every page of a long document
Select the table header on the first page, right-click and select "Table Properties" → "Rows," check "Allow row breaks across pages" and "Appear as a header at the top of each page," then click OK.
Difference from Article 7: Article 7 automatically repeats the table header when the table spans pages, while this article forces a specific row to serve as the header row across pages via the table properties. Using both together ensures more reliable results.

13. Center-align multiple images
按 Ctrl+H Open the Find and Replace dialog box, select "Special Format" in the "Find" field, and check "Shapes" (code ^g); under "Replace," select "Format" → "Paragraph" → "Alignment" → "Center," then replace all at once to center all images in the document.
14. Chapter 2 goes to page 2
Place the cursor in a blank space in Chapter 2, open the "Paragraph" settings, select "Line Breaks and Page Breaks," uncheck "Page Break Before Paragraph," and click OK.
15. The underline on the Word cover page is incorrect
Don't force the text to fit by using spaces and underscores. First, insert a table, enter the content into the cells, then set the table to have no borders, and finally set the borders for each cell individually as needed. This way, no matter how long the text is, it won't cause the lines to shift out of alignment.
IV. Pagination and Page Numbers
16. The table continues on the next page
Place the cursor at the end of the article, then press Delete Just a few keystrokes—usually just removing the extra paragraph tags.
17. Remove the footnote line
When trying to delete the endnote separator, you’ll often find that it just won’t go away. Select “View” → “Outline,” click “References” → “Show Notes,” select “Endnote Separator” from the drop-down menu, highlight that separator, and press Delete Just delete it.
18. Delete content in sections
To delete a portion of the content at regular intervals: First, select the text, click "Insert" → "Table" → "Convert Text to Table," and set it to 2 columns so that the content is arranged in alternating columns; delete the second column, then select the table and click "Layout" → "Data" → "Convert to Text."
19. Insert column page numbers
Open the header and footer editing area, insert a field in the footer, and type {=2*{page}-1} 和 {=2*{page}}(Corresponding to the left and right pages of the two-column layout, respectively).
Please note: Here, { } Must use Ctrl+F9 Insert—do not type the curly braces manually on the keyboard, or Word won't recognize them.
V. First Aid Kit for Blank Pages
20. Extra blank pages in a Word document
A blank page is the most common and most persistent problem. There are several possible causes, but you can usually resolve it by systematically checking the following ten scenarios one by one.
① Delete page breaks or section breaks
Page breaks and section breaks are usually invisible in Word, but you can make them visible by clicking "Show/Hide Editing Marks" on the "Home" tab (or using the keyboard shortcut Ctrl+*) to display them. Page breaks appear as a single dotted line, and section breaks appear as a double line. Once you find them, simply select and delete them.
② Resize tables or images
If the tables or images in your document are too large, they may be split across pages, resulting in blank pages. Try resizing the tables or images, or moving them to a different location, to ensure they do not extend beyond the boundaries of the current page.
③ Adjust paragraph settings
Select the paragraph causing the blank page, right-click and select "Paragraph," then check the "Before" and "After" spacing settings in the dialog box that appears. Excessive spacing may cause a blank page to appear; adjust the spacing to an appropriate value, then click "OK."
④ Check the headers and footers
Double-click the header or footer area at the top or bottom of the page to enter edit mode, and check for any unwanted content, such as extra text boxes, images, or blank spaces. Delete or adjust this content to ensure it doesn't take up too much space.
⑤ Adjust page margins
Click the "Page Layout" (or "Layout") tab, then select the "Margins" button in the "Page Setup" group. Choose an appropriate margin option from the drop-down list, or select "Custom Margins" to configure more detailed settings. Margins that are too wide can easily result in blank pages.
⑥ Use the Replace feature to delete items in bulk
If the blank page is caused by multiple hidden page breaks, press Ctrl+H Open the window, select "Manual Page Breaks" under "Special Formats," and click "Replace All." Note that this method only works for blank pages caused by hidden page breaks.
⑦ Check for and delete any extra paragraph tags
When copying and pasting text, it's easy to introduce extra paragraph marks, which can cause Word to think a new page is needed. Use "Find and Replace" to replace the extra paragraph marks (such as two consecutive paragraph marks) with a single one or delete them entirely.
⑧ Check the document grid settings
If the document grid is enabled and a specific grid format is set, it may affect the page layout. Check the document grid settings and adjust them as needed to ensure the layout is correct.
⑨ Try different view modes
Sometimes it's easier to view and delete hidden symbols or elements in Outline View. Click the "Outline" button on the "View" tab to enter Outline View, where you can make the necessary deletions or adjustments.
⑩ Adjust the page layout settings
Check and adjust the page layout settings, such as columns and page orientation (landscape or portrait). Incorrect layout settings may prevent content from being fully displayed on a single page, resulting in blank pages.
